Booking Terms & Conditions

YH Equestrian T&C

Booking Terms & Conditions

Please read these terms carefully before booking your camp. They cover deposits, cancellations, payments and everything you need to know before attending.

By booking a training camp with YH Equestrian, you confirm that you have read and agree to these terms and conditions.

1. Deposits

  • A £125 deposit is required to secure your place on a camp.
  • Deposits are non-refundable once your booking has been confirmed, subject to the cancellation terms below.
  • Deposits cannot be moved to a different camp date at your request.
  • Deposits cannot be transferred to another rider. Your booking is tied to the rider named on the original booking.
  • Once a space has been confirmed, we begin planning and incur administration and other costs. For this reason, please make sure you are happy with the camp date, rider details and booking information before paying your deposit.

Please double-check everything before submitting your booking. With a large number of camps and bookings to manage, we are unable to make changes to confirmed bookings simply because details were entered incorrectly.

2. If You Need to Cancel

If you need to cancel your place, please let us know as soon as possible using the online cancellation form.

The earlier you let us know, the more opportunity we have to offer your space to someone else.

Cancelling due to horse lameness or rider illness/injury

If you need to cancel because your horse is lame or you are unwell or injured:

  • We will ask for a valid veterinary or doctor’s certificate confirming the reason for cancellation.
  • If we are able to refill your space, you will be offered a £75 credit note towards a future camp, with the remaining £50 of the £125 deposit retained to cover administration and booking costs.
  • This option is only available where your space is successfully refilled.
  • Requests must be made before your camp invoice is due. Once the invoice payment period has passed, the deposit will be retained and will not be converted to credit.
  • Credit notes must be used within 12 months of the original payment date.

A veterinary or doctor’s certificate does not automatically entitle you to a refund or credit. We still need to be able to refill the space before a credit can be offered.

Cancelling for any other reason

If you cancel for any other reason:

  • Your £125 deposit will be retained to cover administration costs.
  • If you have paid additional amounts towards the camp and we are able to refill your space, we will offer a credit note for the additional amount paid, excluding the deposit.
  • Any credit offered is subject to the space being successfully refilled.

We are still responsible for the costs associated with your booked space, even when you are unable to attend. This is why we cannot guarantee refunds or credits following cancellation.

In short: the sooner you tell us, the more likely we are to be able to refill your space and help you with a credit. Last-minute cancellations are much harder to replace and may result in payments being retained.

3. If We Have to Cancel or Reschedule

Sometimes circumstances outside our control mean that a camp cannot go ahead as planned.

Weather, instructor illness or circumstances beyond our control

If we need to cancel or reschedule a camp because of severe weather, instructor illness or another circumstance outside our reasonable control:

  • Your booking will normally be moved to the next available camp date.
  • If the new date is not suitable, we will offer you a credit towards a future camp, subject to the terms of that credit.
  • Where a deposit is carried forward following a cancellation or rescheduling by YH Equestrian, it can only be used towards another camp and cannot be exchanged for cash or used towards individual lessons.

Coach changes

If your booked coach is unexpectedly unable to attend, we may arrange a replacement coach.

We will always aim to provide a suitable replacement, but coach availability can change for reasons outside our control. A change of coach does not automatically entitle you to transfer your booking to another camp.

Cross-country course closures

In severe or unsuitable weather, the venue may close the cross-country course at its discretion.

If this happens, we will follow the venue’s instructions and do our best to adapt the camp where possible. A cross-country course closure does not necessarily mean the whole camp will be cancelled.

Government restrictions or other events preventing the camp from taking place

If government restrictions or another event outside our reasonable control prevents a camp from taking place, your booking may be held as credit and rescheduled when it is possible to run the camp safely.

Camp deposits carried forward in these circumstances can only be used towards another camp and cannot be transferred to individual lessons.

4. On the Day – What You Need to Know

Payment

Once an invoice has been issued, payment is due within 48 hours.

If payment is not received by the deadline, your place may be offered to someone on the waiting list.

Payment schedules

We offer two ways to pay your camp balance:

Option 1 – Pay in full

  • Full camp balance payable 10 weeks before the camp.

Option 2 – Pay in two instalments

  • First instalment payable 10 weeks before the camp.
  • Second instalment payable 6 weeks before the camp.

A £5 administration fee applies to each instalment payment.

Safety Equipment

Safety equipment is compulsory and must meet the requirements of the venue and the activity being undertaken.

  • An up-to-date, correctly fitted hard hat must be worn at all times while mounted.
  • An up-to-date body protector and skull cap are mandatory for cross-country.
  • If you arrive without the required safety equipment, you will not be permitted to take part in the relevant activity and may be unable to continue with the camp.

Please make sure all safety equipment is suitable, correctly fitted and in good condition before arriving.

Under-18s

Riders under 18 must be accompanied and supervised by a responsible adult throughout the camp.

Insurance & Risk

Riding is a high-risk sport and horses can behave unpredictably.

  • You are responsible for your own safety and for the care and control of your horse.
  • You must have appropriate rider insurance and be able to provide proof of cover if requested.
  • You should make sure your insurance is suitable for the activities you are taking part in, including cross-country where applicable.
  • You are responsible for checking that your tack, equipment and safety equipment are safe, suitable and in good working order before use.

Nothing in these terms is intended to exclude or limit any liability that cannot legally be excluded or limited.

Facilities

Arenas and other facilities included within your camp booking are available during your scheduled lesson or activity times only.

If you wish to use facilities outside your allocated time, you will need to arrange and pay for this directly with the venue.

Horse Health

Please do not bring your horse to camp if they are showing signs of illness, lameness or any potentially contagious condition before travelling.

  • YH Equestrian cannot accept responsibility for illness or contagious infection contracted by a horse during camp where this is outside our reasonable control.
  • If a horse develops signs of illness during camp, appropriate health and isolation protocols will be followed.
  • We reserve the right to ask a horse not to participate if we believe there is a health, welfare or safety concern.

The welfare of the horses and the safety of everyone attending must always come first.

Vaccinations

All horses attending a YH Equestrian camp or training session must have up-to-date annual vaccinations in accordance with the requirements set out for the relevant venue.

It is your responsibility to ensure your horse meets these requirements.

You must bring your horse’s passport to the camp and be able to produce it on arrival if requested.

Please check our FAQ page for the vaccination requirements before booking.

Dogs

No dogs are permitted at camp.

If you arrive with a dog, you will be required to remove the dog from the venue and may be charged any applicable costs or fees arising from the breach.

Damage

Riders are responsible for any damage or breakages caused by themselves or their horse to jumps, equipment or other facilities, where the damage has been caused by their actions or failure to take reasonable care.

Any genuine repair or replacement costs for damage for which you are responsible may be charged to you.

Liability

We take reasonable steps to provide a safe and well-organised camp, but riding and working around horses carries inherent risks.

You remain responsible for your own horse, equipment and actions throughout the camp.

YH Equestrian is not responsible for loss or damage where this results from circumstances outside our reasonable control or from the actions or behaviour of a horse or participant, except where liability arises from something for which we are legally responsible.

You are responsible for checking your tack and equipment is safe and in good working order before mounting.

Nothing in these terms excludes or limits any liability which cannot legally be excluded or limited.

Coaches’ Discretion

Our coaches have a duty of care to all riders and horses attending the camp.

A coach may refuse or stop a lesson or activity if they believe that:

  • a horse is unsound or unfit to participate;
  • a rider or horse is not suitably prepared for the activity;
  • the chosen activity or jump height is not safe for the combination;
  • safety equipment is not suitable or correctly fitted; or
  • continuing would create an unacceptable risk to the rider, horse, coach or other participants.

The coach’s decision on safety matters is final.

On-Site Extras

Some camps may have additional services available on site, such as a weigh bridge, Theraplate, photographer or sports massage.

These services are provided by separate businesses, are charged separately and are not part of YH Equestrian’s camp booking.

Any booking, payment or dispute relating to these services must be dealt with directly with the relevant provider.

Event Rules

All participants must follow the emergency, fire, health & safety and venue rules in place at the event.

Failure to follow reasonable safety instructions may result in you being asked to stop an activity or, where necessary, leave the event.

Jump Heights & Grouping

When booking, please choose the jump height that is genuinely the best fit for you and your horse.

You will be expected to jump at the height set for your group.

Please be honest when booking. Putting yourself or your horse into a group that is not suitable can affect the safety and enjoyment of everyone taking part.

Our coaches may move a rider to a more suitable group or adjust the activity if they believe this is necessary for safety or welfare.

Finally…

We always try to be as fair and reasonable as possible.

Where we can refill a cancelled space, we will always do our best to help. However, we cannot guarantee that a space will be refilled, particularly with short-notice cancellations.

The sooner you let us know about any changes, the more we can do to help.

By booking a training camp with YH Equestrian, you confirm that you have read, understood and agree to these booking terms and conditions.
